Technical Administrator - Procurement Systems

Technical Systems Analyst

This position will provide the day to day backup support for all levels of Coupa Administrators, which is American National's spend management system and a Financial significant system. The Analyst will assist in business activities relating to upgrade testing, troubleshooting, and support of the Coupa system. Additionally, The Systems Analyst will assist the Coupa Administrator to look for opportunities to optimize the current configuration and new functionality.

 

Responsibilities:

  • Uses existing procedures to solve operational or routine problems in the daily production of the department. Analyze report data and summarize findings.
  • Interacts with personnel at many levels in all departments regarding requests as well as changes. Helps internal stakeholders to understand Coupa.
  • Works collaboratively with team members and suppliers on Coupa access and roles and problems.
  • Applies sophisticated business concepts to own work.
  • Daily Coupa application maintenance tasks.
  • Monitor, track and follow-up on internal transfers.
  • Process new user access requests received through the Navigator system; assign roles, update Navigator system as completed, monitor and maintain logs for various reports; missing managers, incomplete user records, new users, blocked suppliers, remit to address changes, contractor access requests and expirations, remote worker addresses, bounced email (attachment exceed size limit), user integration errors, new GLs added, etc.
  • Monitor and troubleshoot Coupa integration errors; SAP HR, SAP lookups, ready to pay file, payment file, supplier, remit to, invoices, punch-out and CXML (standard language developed by the eProcurement industry which allows transactions to be sent and received between a buyer and a seller's system).
  • Communicate any system outages for upcoming update releases
  • Monitor transfer notifications and take action for Coupa users.
  • Create/update UNSPCS codes and create/update user delegates as needed
  • Open and follow-up as needed on Coupa support tickets
  • Update Coupa Administrator guide and other Admin documents as changes occur
  • Update Coupa calendar annually which helps the system know business days vs not business days so that invoices are processed on time and escalations for approvers take into consideration these days; i.e. company holiday, etc.
  • Follow all SDLC guidelines and complete documentation for any changes that are made. SDLC stands for Systems Development Life Cycle which is the enterprise system used to document all system changes and the approval for those changes; required for audit purposes
  • Participate in all new Coupa Releases; i.e. work with the team to create test documents and research new functionality in new releases.
  • Troubleshoot system issues and answer business process questions.
  • Archive, maintenance and upgrade communication.
  • Process and file Contractor Offboard notifications. 
  • Monthly audit report follow-up with Security Data Stewards
  • Supports system configuration changes and testing of enhancements.  Measure and report on results against goals.

 

Qualifications:

  • 4 year degree is preferred or equivalent work experience.
  • 4-6 years or more of business experience preferably in Accounting, Finance, or Accounts Payable environment.
  • Must have a technical aptitude.
  • Requires attention to detail and the drive to complete tasks in a timely manner with minimal errors.
  • Conceptual knowledge of business theories, practices and procedures.
  • Ability to analyze and apply sound judgement when faced with inconsistencies.
  • Must be able to provide good customer service skills.
  • A strong team player within a high-volume work environment.
  • Strong verbal and written communication skills
  • Proficient in Microsoft Office Programs; Word, Excel, PowerPoint and Outlook.
  • High degree of concentration. Exceptional attention to details and deadlines.
  • After experience in the American National environment will be expected to complete and pass the Coupa Platform Certification training and exam
