Facilities Administrator

American National is seeking an Administrative Assistant for our Facilities department in our Glenmont, NY location! As an Administrative Assistant, you will be responsible for defining, implementing and maintaining operational procedures for multiple properties, ensuring the comfort, security and safety of office personnel, as well as prolonged life of equipment and structures.   • Provides correspondence to incoming calls and emails for the department 
  • Escorts vendors, contractors and guests to facilities management office
  • Dispatches work orders via the work order system (IMPAK), email or phone 
  • Monitors, maintains and orders office supplies for facilities management and Long term Storage employees 
  • Collects and organizes all receipts for departmental purchases, and distributes approved purchase orders (POs)
  • Demonstrates responsibility for tenant, vendor, project, property and record filing system for facilities management and long term storage 
  • Acts as a back up to records retention specialists in long term storage and provides assistance, as needed 
  • Organizes meetings and on-call setup and distribution for the department 
  • May complete additional duties, as needed



  • High school diploma or a GED, required 
  • One year experience in a related field, required 
  • Must be able to stand for periods of time, and lift up to 50 pounds
  • Must be proficient in Microsoft Office Suite
  • Must have strong organizational skills 
  • Must have excellent verbal and written communication 
  • Must demonstrate the ability to be a team player and work well with others
