Facilities Administrator

American National is seeking a Facilities Administrator to join our team! 

 

Purpose of the Job:

Responsible for defining, implementing and maintaining operational procedures for multiple properties, thus ensuring the comfort, security and safety of office personnel as well as prolonged life of equipment and structures. The incumbent performs a variety of routine work within established policies and procedures and receives detailed instructions on new projects and assignments.

Essential Functions:

  • Answers calls for the department and fields emails.
  • Receives vendors, contractors and guests to facilities management office.
  • Organizes meetings and on-call setup and distribution for the Albany and Springfield locations.
  • Dispatches work orders that come via the work order system (IMPAK), email or phone.
  • Monitors, maintains and orders office supplies for facilities management and Long Term Storage employees.
  • Collects and organizes all receipts for departmental purchases. Distributes approved purchase orders (POs).
  • Responsible for tenant, vendor, project, property and record filing system for facilities management and long term storage.
  • Responsible for Albany and Springfield vendor invoicing and compliance.
  • Assists with monthly budget reports for department
  • Acts as back up to records retention specialist in long term storage and provides additional assistance as needed.
  • Assists with Facilities Coordinator with vendor compliance, projects and provides additional assistance as needed.
  • Supports Springfield Facilities and Corporate Security
  • Responsible for ordering janitorial supplies

Qualifications:

  • High school diploma or GED required
  • One year experience in banking, administration, customer service or similar role.
  • Enjoy working as a team-player in a supportive work environment
  • Proficient in utilizing the Microsoft Office Suite (Excel, Word, Power Point, etc.)

Special Position Requirements:

Essentially a normal office environment with acceptable lighting and temperature. This position has physical components, requiring walking, standing, lifting, bending and ability to lift up to 50 pounds. The position deals with confidential information requiring good judgment and a high degree of confidentiality. Works with multiple constituents, so must be a team player with a demonstrated ability to work well with others. Must be willing to help other team members with their job duties as needed.
