American National is seeking an Administrative Assistant for our Springfield, MO location.  This role will provide support services to several members of senior management and department managers.  The candidate needed is a highly motivated self-starter with excellent computer skills, top-notch organizational skills, and the ability to multi-task in a detailed environment.


Responsibilities include:

  • Schedule meetings/seminars/resources for senior management and department staff
  • Make timely and accurate weekly updates to the Compliance Department’s forms and rates database
  • Take meeting minutes and publish directly to attendees
  • Handle all department invoicing
  • Provide customer service to callers and visitors to the department
  • Order supplies and forms for the office in a proactive manner
  • Distribute incoming mail or packages to the department; mail outgoing mail
  • Coordinate any educational needs for the department, including classes
  • Set travel plans for follow-up with receipts through expense reimbursement system
  • Act as approver for Wells Fargo statements
  • Maintain the department’s Business Continuity Plan
  • Coordinate daily activities and special events within the department
  • Generate reports for the department as needed
  • Maintain the department SharePoint site
  • Prepare and analyze department presentations and correspondence as needed
  • Provide backup assistance to the COO’s Assistant


Qualifications needed:

  • High school diploma required; Associates degree preferred
  • Three years administrative experience
  • Excellent verbal and written communication skills, along with a thorough knowledge of business English, spelling, grammar, and punctuation
  • Knowledge of general office practices and procedures
  • Strong computer skills, with knowledge of Windows, Excel, Word, and PowerPoint
