Executive Assistant (Claims Department)

American National is seeking a full-time, self-motivated, enthusiastic, and proactive Executive Assistant, who leads by example.

How you will make an impact

  • Liaison for the claims department, providing ongoing administrative support for senior leadership team(s)
  • Schedule and organize meetings, travel, conferences, and department activities with a keen focus on detail, directing priority deadlines, providing updates on pending items that require attention, and extending follow-up
  • Answer incoming phone calls
  • Generate and design general correspondence, departmental projects, newsletters, budgeting detail, memos, charts, tables, graphs, and company business plans
  • Prepare budgeting and ad-hoc reports
  • Reconcile credit card expense statements
  • Point of contact for department supply order requests
  • Facilitate and attend executive leadership and divisional meetings (Notating minutes)
  • Review, proofread, and compose outgoing correspondence
  • Always seek opportunity to be an available resource to others

  • Anticipate issues that may arise and adjust as needed
  • Maintain a positive attitude with focus on leading by example
  • Ability to manage sensitive and confidential information


Minimum Qualifications

  • High school diploma or equivalent
  • Administrative or relevant work experience


Preferred Qualifications:

  • Two (2) year college degree
  • Strong written and verbal communication skills, with the ability to tactfully communicate deadlines and attention to specific requests
  • Aptitude to navigate various computer programs simultaneously, on dual monitors (Using Microsoft Office applications and internal systems)
    • Excel (Familiarity with formulas, functions, formatting)
    • Outlook (Email communication, scheduling reminders/appointments, managing calendars)
    • Word (Building templates, sharing communication updates)
    • SharePoint (Maintain and update department site)
    • PowerPoint (Amend, update, and create presentation materials)
    • Visio (Creating charts)  
  • Openness to advancing skills, learning new concepts, and ongoing development/feedback
  • Thrive in a fast-paced, time sensitive, and urgent work environment
  • Organized, detail oriented, technically inclined, and a self-starter
