American National is seeking a Facilities Administrator to join our team! 

 

Purpose of the Job:

Responsible for defining, implementing and maintaining operational procedures for multiple properties, thus ensuring the comfort, security and safety of office personnel as well as prolonged life of equipment and structures. The incumbent performs a variety of routine work within established policies and procedures and receives detailed instructions on new projects and assignments.

 

Essential Functions:

  • Answers calls for the department and fields emails.
  • Receives vendors, contractors and guests to facilities management office.
  • Organizes meetings and on-call setup and distribution for the Galveston location.
  • Dispatches work orders that come via the work order system (IMPAK), email or phone.
  • Monitors, maintains and orders office supplies for facilities management.
  • Collects and organizes all receipts for departmental purchases. Distributes approved purchase orders (POs).
  • Responsible for tenant, vendor, project, property and record filing system for facilities management.
  • Responsible for Galveston vendor invoicing and compliance.
  • Assists with monthly budget reports for department.
  • Assists with Facilities Coordinator with vendor compliance, projects and provides additional assistance as needed.

 

Qualifications:

  • High school diploma or GED required
  • One year experience in administration, customer service or similar role.
  • Enjoy working as a team-player in a supportive work environment
  • Proficient in utilizing the Microsoft Office Suite (Excel, Word, Power Point, etc.)
